What personal data we collect and why we collect it

Comments

In certain situations, visitors can leave comments on the site. We collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help with spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. For information on their privacy policy, see the Gravatar service privacy policy (https://automattic.com/privacy/). After the approval of a comment, the associated profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included as it's possible that other visitors to the website could download and extract any location data from images on the website.

Forms

Forms (such as the Contact Form) are designed to collect the data you provide. This information is stored and sent to the TFCS team via email and the service Pushover.

If there is information that you believe should not be sent via these methods, please call us instead on 1300 558 504.

Pushover

Pushover is a simple push notification service. Pushover's privacy policy can be seen here: https://pushover.net/privacy - their deletion schedule for transmitted data can be seen here: https://support.pushover.net/i39-notification-storage-and-delivery.

For reference:

(a) Once the message is received and the Pushover service is notified, "the Pushover servers delete all messages up to and including that ID".

(b) "Messages delivered to devices but not acknowledged will be automatically deleted from our servers after 21 days, and image attachments after 3 days."

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Who we share your data with

We may share your data with third-party vendors, service providers, contractors, or agents ('third parties') who perform services for us or on our behalf and require access to such information to do that work.

We may also need to share your information in the following situations

When we use Google Maps Platform APIs - We may share your information with certain Google Maps Platform APIs (e.g. Google Maps API, Places API). Google Maps may use GPS, Wi-Fi, and cell towers to estimate your location. GPS is accurate to about 20 meters, while Wi-Fi and cell towers help improve accuracy when GPS signals are weak, like indoors. This data helps Google Maps provide directions, but it is not always perfectly precise.
Business Partners - We may share your information with our business partners to offer you certain products, services, or special promotions.
Business Transfers - While unlikely, we may share or transfer your information in connection with, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

How long we retain your data

On this website

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Within our records

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).
